Getting ready for results day


In this article we will walk you through best practise for being prepared for a hassle-free results day. All of these steps should be completed ahead of results day, so when the time comes to upload your results you know that everything in your account is good to go. 

Step 1 - Checking Users

Check that all of your users have the appropriate permission levels before results day. You need to click on the 'Manage Users' section from the left-hand side of the homepage, and then click 'Active Users' to check the user permissions for each user:


To edit a user, you need to scroll all the way to the right and then click on the edit button on the far right hand side of the screen:


After clicking on the edit button, you should then see this screen to edit a user's details and permissions:



There are 3 tiers of access in Connect:

No Access - this means that a user can only see the data in the Analysis Zones (Student, Subject Strategic etc.) once the data has been uploaded and published by the data manager.
View Full PDF Reports - same permission as 'No Access' plus the user will be able to see the end of year PDF report in the My Reports section under the Reports and Downloads section on the homepage
Upload Data View Full PDF Reports - same permission as above, plus full access to the data management section to upload, edit and delete the data in the Connect account - this should only be given to the users who are in charge of uploading and managing the data

Admin Rights - allows the user to add and disable users

Early Access Privilege - ability to see the end of year results during the JCQ embargo - you need to have admin rights to also have early access privilege 

Make sure all of the permission levels are correct for each one of your users before results day.

Step 2 - Checking your data and making manual changes to your data

After updating your user permissions, you then need to check your data. To do this, you need to click on the 'Data Management' section and then click on 'Cohorts':


Then, click on the title of your year group. For example, if I wanted to check my year 13 data, I would need to click on where it says 'Year 13' in the year group workspace below:


You can then check your data in this next screen, and make manual edits to each student by clicking on the pencil tool on the far right-hand side:


Step 3 - Updating Existing Data/Adding New Data

You can make bulk updates by clicking on the 'Import Additional Data' button:


After clicking on this, choose 'Update and Merge' to bulk add brand new info to your existing data, or select 'Overwrite and Replace' to make bulk updates to existing data:


Once you have checked all of your data and confirmed it is up to date and accurate, you can then upload your results when you have them.

Step 4 - Importing your results

You can then go to the 'Gradepoints' section to import your exam results. Click on the 'Add Exam Results' button to launch the import wizard:


Then follow the import steps all the way through to the very end to import your data:


Step 5 - Check and Publish

After importing your results you should see that your End of Year Gradepoint has now been created and it should look like this:


You then need to click on the 'Check and Publish' button that is on the Gradepoint:


Then, click 'Publish' in the bottom right corner of the screen:


Then click publish again in the window that opens in the middle of the screen:


Then your Gradepoint should turn Green:


Once your Gradepoint looks like this, it means that all users with any type of Connect Access level will be able to access the results analysis in the analysis sections from 8am on results day.

Users with the Early Access privilege will be able to see the data the day before results day as long the data is uploaded before the official results day.   

Publishing your Gradepoint will automatically run your end of year PDF report that you can download from the My Reports section - it will be available to all users who have the View Full PDF Reports access.
