'Record was not matched' - how to fix mismatching student ID numbers

This is a common reason why you might be unable to publish data and import to Connect Interactive / report. Connect Data uses Student ID numbers to link your Cohort and Grades, so if the IDs do not match, the software will be unable to create your Gradepoint.

The following article provides step by step instructions on how to add leading zeros to your Student IDs in Excel.

 

- Open your data in Excel.

- The new system does not allow you to import any information that is incorrect, so if the leading zeros are missing and the student IDs do not match, you will have to edit the data at source rather than exporting it from Connect Data into Excel. 

- Add the leading zeros into an empty column, this column must be formatted as Text.

- Double click in the bottom right corner of the cell, then select ' Copy Cells' if it fills in as a series.

- In the next column, you need to add these zeros onto the front of the student ID. Do this by using the formula '=(leading zero cell) & (student ID cell)'. In the example below this is =K1&A1

- Double click in the bottom right hand corner of this cell to apply the formula to all cells in the selected columns.

- Copy this column of data, then 'Paste Values' into the student ID column.

- Delete the extra columns - the 00 and formula column.

- Go back into Connect Data and start the import wizard. 

- Follow the steps appropriately with the new student IDs.

- If you paste data in then please untick 'Does this data contain headers' if your data does not have headings. This is available on the column mapping screen.
