Grade Errors

Grade Errors

This article will show you some common grade errors that you may come up against when importing grades data into Alps.

Invalid Subject Mapping

This error can occur when you have chosen the incorrect subject in the subject mapping step that doesn't match the grade profile of the subject in your file you have uploaded.

In the example below, I have chosen a BTEC Ext Dip but I should have chosen a BTEC Dip, as there are 2 grades per student (Diplomas) rather than 3 grades per student (Extended Diplomas). If you get this error, you can press the Previous button to go back to the Map Subjects screen and re-map to the correct subject before proceeding.

You can find all of the grade profiles in our QAN to Alps file: QAN_to_Alps.xlsx

Incorrect Grade Format

In the example below, the grade in my file is 'Dist' for Distinction, which is an invalid value in Alps Connect. If you have grades that look like this in your file then you need to change them to the abbreviations, e.g. 'D*' 'DM' or 'P' etc. You can either do this manually in the Fix Errors screen as pictured below, or edit the grades in Excel and reimport the file:

Fine Grade Errors

In the example below, the software has flagged up errors on my Fine Grades, even though the grades are correct for the subjects I have mapped them to. This is because I haven't turned on my fine grades in the fine grades section:

To resolve this, you need to cancel the import and go to the Fine Grades section:

In here, you need to tick the 'Use fine grades' and 'Allow no suffix for secure' boxes and add your fine grades into the 3 text boxes and click save:

After you have done that, you'll then be able to import these fine grades without issue.
