Setting up MIS Integration

This article will show you how to setup MIS Integration in Alps. 

What data will be integrated?

The following data fields will be integrated with Alps: 

Surname

Forename

DoB

Student ID

Gender

Ethnicity

SEND

Disadvantage

EAL

Tutor Group


Please do not use MIS Integration for any year groups you have already imported data for - turning integration on for these year groups will wipe out all of the data you have already imported and replace it with just the basic student information listed above. The integration will automatically sync student data from your MIS, and it will automatically update everyday at 3am. 

Please do not setup the integration for new academic years until you have rolled over your data in your MIS - once you're happy with your data in your MIS, that is when you should setup the integration in Alps. 

If you haven't rolled over your data in your MIS for the new academic year, or if you setup your integration for year groups you have already imported data for, then you will get this error message:


If you do get this error, please call us on 01484 887 600 and we can reset the integration for you. 

Step 1: Filling out Integration Details

Below is a broken down step by step guide to the video on the first part of the integration process:

In the left-hand sidebar in Data Management you should now see a new section called MIS Integrations



This will take you to the below screen, where you can turn on the toggle under where it says Xporter



Once the toggle is turned on, fill out the integration details on the right-hand side of the screen - if you are an International School please email support@alps.education for an LEA and DFES code. 



When you get to the Student ID section of the integration details, please make sure you choose a Student ID type that you are already using in your MIS to track your students:



Once you have filled in all of the details, please double-check them to make sure they are correct. Once you're happy, please click Submit in the bottom-right of the screen:


After clicking Submit - this window will appear in the middle of your screen:


At this point I would recommend to review your integration with Xporter. You can find out more information on Xporter here.

Once you have reviewed your integration with Xporter and made sure that everything is in order from a data protection perspective - simply tick the three boxes and click the Proceed with Setup button:


You will then receive an email from Xporter - find this email in your inbox and click on the Begin Authorisation button:


After clicking Begin Authorisation you will be taken to this page in your browser to start the data sync. Make sure you have authority to share your data and then click Proceed to continue:


You will then see what will be accessed - you can expand these sections by clicking the arrows to see more details:


The recommended choice will be selected by default: 


You can then turn on the 3 toggles and click Authorise Sharing:


Step 2: Syncing your data


After clicking Authorise Sharing - please go back into Alps and refresh your screen. You will see the window in the screenshot below open in the middle of the screen in same place where you submitted your integration details.

Step 3: Manual Syncs

Once you have finished the integration setup, your data should now look like this:


On the far right you will now see a column that says MIS Sync with a green tick for each year group you have chosen to sync into Alps.

In the top right, next to your school name, you will see a green tick and something that says MIS - Connected. 

This is the current status of your integration and it is also a drop-down menu that you can open to check on the status of each of the year groups you have chosen to sync:



You can drop this down and manually sync year groups to bypass the auto-sync by clicking Sync now if you want to update your student data before 3am. 

You can also manually sync other year groups that aren't already synced. Simply select the prior attainment of the other year groups, and then click on the sync button, and then click Sync now:
